Porter Quad Financial Aid Advisors Will Be Relocated May 7 – May 22

The Office of Financial Aid Student Welcome Center in Porter Quad will be closed for minor renovations May 7 – May 22.  During this time, financial aid advisors will be available for walk-in appointments only in the Student Response Center located in 232 Capen Hall.  Students may also call our office at 645-8232 or visit our South Campus office located in 104 Harriman Hall for assistance.

Summer 2014 Now Seated – Sent 12/20/2013

Hello Schedulers,

An announcement has been posted in the system. Please read below for details about the announcement:

Good Afternoon,
Today we were able to seat the summer 2014 schedule.  The information will move to SIRI and Infosource tonight, so please begin checking your schedules Monday.  We have one or two courses we are still working on some issues with, but almost all courses are sat.  The interface is on so if you need to schedule or cancel any additional classes you may go ahead and do so immediately.

The summer schedule is being published to students on January 2nd.

Also, just a friendly reminder to keep working on your fall schedules as the deadline for all centrally scheduled changes is January 21st.  I will set up a January workshop for fall shortly.

A few announcements from our office:

Spring 2014 Final Exams and Commencement
Our office has processed all spreadsheets received for spring 2014 final exams.  If you did not submit anything to our office to schedule final exams please do so ASAP.  Also, please be sure to always review your final exam schedule prior to the end of the term as our office does the best we can with queries, but the queries cannot identify if the same cohort of students have 3-4 exams in one day if the times do not overlap.  Please also be on the look out for exam rooms that are not appropriately sized and let our office know as soon as you identify issues.

Also, this upcoming spring it has come to our attention final exams will overlap with graduation ceremonies due to the change in the academic calendar.  We have already begun working with departments who have identified this as a problem for them, but we are asking all departments to look into when their ceremonies are and if there are issues with the timing of your exams please let us know as soon as possible.  The issues to be on the look out for are graduating seniors who have exams during or after their departmental ceremony.  Ceremonies are running Thursday-Sunday and final exams will run Monday-Saturday of the same week. We are working with Special Events to look into alternatives moving forward beginning with spring 2015, but there will be no changes for spring 2014.

Stop Further Enrollment
It has come to our attention a few departments are using the “stop further enrollment” drop down on the enrollment control tab inside of maintain schedule of classes.  If you have a class seated in a central space this UNSEATS the class in R25 and your room then becomes available for us to assign to another class.  I have queried for these classes for spring and have input CSS and we will have to reseat those classes.  If you are unsure if you are going to hold a class or you want to cap enrollment please just change the enrollment cap and/or uncheck the schedule print or you are in danger of a double booking.

Incorrect Instructor Person Number Being Assigned
The grading folks in the Office of the Registrar have noted that there are many incorrect person numbers being assigned as instructors on classes.  They have received faculty phone calls that the faculty member cannot view their class in their HUB Faculty Center; when troubleshooting the issue, our staff have found incorrect person numbers.  This presents a confidentiality issue when the incorrect person number is used as that will give access to the class roster and information, to that staff member of the university with that person number.  If you are not sure of a person number please either ask the faculty member or your hiring area to confirm the person number.

Department Scheduler Workshop Tomorrow
Just a friendly reminder we will be holding a department scheduler workshop in Capen 201, tomorrow, from 10AM-12PM.  We will be sharing the computer lab with The Office of the Registrar staff who handle exceptions training as well.  Some of you may be in the room to attend both workshops, and me, as well as the exceptions staff, will be on hand to answer any questions.  There is no sign up for this training, you are free to come and go as your time permits between those hours.

Clarification of Academic Advisors’ Approval of Cross Registration Requests – Sent 11/18/13

Colleagues –

Some of you have expressed concern about the fluctuating nature of enrollment and advisor approval of cross registration requests. I understand and appreciate your concerns. To clarify, we are asking for advisors to make the approval/denial decision based on the information that is available to them at the date that the request is made.

For example, if, on June 1, all of the remaining seats in a class are reserved for freshmen and the student isn’t a freshmen, then the cross registration should be approved. Likewise, if the student hasn’t been able to get into a limited enrollment course and it is impossible to know whether open seats would remain by the time that the Course Enrollment Control Policy is lifted (see my earlier email on that topic), then the advisor should approve the request. (The advisor would be taking the student’s word that s/he checked with the department to request force registration and that request was denied.)

We recognize that this means that an advisor may approve a request on one day, which then looks as if it shouldn’t have been approved because seats were opened at some later point. Unfortunately, that can’t be avoided given the ever-changing nature of enrollment. When you review a request, we ask that you make the best judgment that you can in support of the intention of the policy, which is to keep students engaged at UB and to have them enroll in UB courses prior to seeking cross registration elsewhere.

Course Enrollment Control Process Update – Sent 11/18/2013

Colleagues,

The Senior Vice Provost for Academic Affairs has asked me to announce that the registration process for impacted courses under the undergraduate Course Enrollment Control policy will be changing effective with spring 2014 registration. One week prior to the start of classes, the Course Enrollment Control policy will be lifted in HUB, allowing students who have previously attempted impacted courses to self-register in seats that remain open at that date. All other restrictions, including prerequisites, Reserve Capacities, and Repeat Policy restrictions that prohibit self-registration after two attempts, will continue to apply.

The process for repeat registration for impacted courses prior to this date is at the discretion of the cognizant decanal unit.

While this may not guarantee a seat if the course is otherwise full, it may be helpful to students seeking enrollment. Please share this broadly with students.
